The Annual General Meeting of the Don Mills Tennis Club will be held on November 26, 2024, at 7:00 pm.

The purpose of this meeting is to review the 2024 summer season and to receive a summary report presented by all Board Directors. It is also an opportunity to elect new board members for the 2024-2025 season and to transact other business as may properly be presented at the close of Reports and elections.

If you have any Motions for consideration by the board, they must first be submitted to [email protected] with supporting rationale, no later than 11:59pm October 9, 2024. Ad hoc Motions from the floor will not be entertained.

Proxies

If you are unable to attend the DMTC Annual General Meeting on November 26, 2024, you may vote by proxy (Online Proxy Form) by assigning your voting authority to any other DMTC adult/senior member in good standing via one of the methods listed below. Please ensure that the person you assign your Proxy to will be attending the AGM. If you end up coming, having formerly assigned your Proxy, that Proxy will nullify as you would now be present. Also note that once your Proxy is assigned, you are placing your trust in that person to vote for you. You cannot direct your Proxy.

Deadline for paper proxy submissions is @ 7pm October 15, 2024 at the Club Office since the club will be closed as of Oct 16th.

Proxy requests must be made by one of the methods below A member may not appear at the AGM with printed proxy forms in their hands that have not been registered as proxies. These forms would be invalid.

Method 1: Appoint Proxy via Online Form [Online Proxy Form]

1. Complete and submit the Online Proxy Form. You will need your DMTC sign ons.
2. Must be received no later than at 11:59 pm on Wednesday October 30th, 2024.

Method 2: Appoint Proxy via Email- PDF Form [PDF Form]

1. Download the PDF Form.
2. Send the completed form as an email attachment to [email protected]
3. Must be received no later than 11:59 pm on Wednesday October 30th, 2024

Method 3: Appoint Proxy via Printed Form (least preferred method) [PDF Form]

1. Download the PDF Form.
2. Complete, print, and submit in an envelope to DMTC Secretary by sliding it under the Clubhouse Office door.
3. Must be received no later than 7pm October 15, 2024 at the Club Office since the club will be closed as of October 16th, 2024.

Please be reminded that your proxy can be used to vote for the Board election as well as for any Constitutional amendments. .
